AML & KYC policy

How Poly Rion prevents money laundering and terrorist financing and verifies its clients. Last revised 2026 — draft pending legal review.

1. Purpose and scope

Poly Rion ("Poly Rion", "the Company", "we", "us") is committed to preventing its services from being used for money laundering, terrorist financing, sanctions evasion, fraud or any other financial crime. This Anti-Money Laundering and Know Your Client Policy ("AML & KYC Policy") describes the measures we apply and what we need from our clients.

The policy applies to every client, applicant, partner and Introducing Broker, and to every account, deposit, withdrawal, transfer and trade on our website, client portal, trading platforms and mobile applications. It forms part of our Client Agreement.

"Money laundering" means concealing or disguising the origin of money or assets obtained through crime so that they appear legitimate. "Terrorist financing" means providing or collecting funds, from any source, with the intention or knowledge that they will be used to support terrorism.

2. Our principles

  • We identify and verify every client before enabling live trading or any withdrawal.
  • We apply a risk-based approach: the checks we perform depend on the risk a client, country, payment method or activity presents.
  • We monitor accounts and transactions throughout the relationship, not only at onboarding.
  • We do not accept anonymous accounts, accounts in fictitious names, or funds from or to third parties.
  • We keep records of identification, transactions and checks for the period the law requires.
  • We cooperate fully with competent authorities and report suspicious activity where the law requires it.
  • Our staff are trained to recognise and escalate suspicious activity, and our controls are reviewed regularly.

3. Client identification and verification

You can register and use a demo account straight away. Before you can open a live trading account or withdraw funds, your identity verification must be approved. We may ask for verification earlier, for example before accepting a deposit.

Proof of identity

A clear, colour copy of a valid, government-issued photo document showing your full name, date of birth, photograph, document number and expiry date:

  • passport;
  • national identity card (both sides); or
  • driving licence (both sides).

Proof of address

A document issued in your name within the last six months showing your residential address, such as a utility bill, a bank or card statement, a tax or government letter, or a residence certificate. A post-office box is not accepted.

Selfie

A photo of you holding your identity document, or a live selfie check, so we can confirm that the document belongs to you.

Further information

Depending on your risk profile and activity, we may ask for more: information on your occupation, the source of your funds and wealth (for example payslips, tax returns, bank statements or a sale contract), proof that you own a payment method, or certified copies of documents. Documents in a language other than English may need a certified translation.

Documents must be genuine, valid, legible and not edited. We may verify them electronically through specialist providers and against public and commercial databases.

Keeping your details up to date

You must tell us about any change to your name, address, contact details, nationality or tax residence, and send updated documents when your document expires. We may ask you to re-verify at any time.

4. Risk assessment and due diligence

We assess each client's risk from factors such as country of residence and nationality, occupation, expected and actual activity, payment methods and links to higher-risk sectors.

Enhanced due diligence applies to higher-risk clients, including politically exposed persons (PEPs), their family members and close associates, clients from higher-risk jurisdictions and clients whose activity does not match their profile. It can include additional documents, verification of the source of funds and wealth, senior management approval and closer ongoing monitoring.

5. Sanctions and restricted countries

We screen clients, and where relevant their payments, against international sanctions lists and lists of politically exposed persons, both at onboarding and on an ongoing basis.

We do not provide services to persons or entities subject to sanctions, or to residents of countries we have chosen not to serve. The list of restricted jurisdictions is published on our website and may change at any time. Using a VPN, a third party or false information to avoid these restrictions is a breach of our Client Agreement.

6. Deposits and withdrawals

  • Deposits must come from a payment method in your own name. Payments from third parties, including family members and companies, are not accepted and will be returned at the sender's cost.
  • Withdrawals are paid only to a verified payment method in your own name and, where possible, to the same method and in the same currency you used to deposit, up to the amount deposited. Profits beyond that amount are paid to another method in your name that we have verified.
  • We do not accept cash deposits or pay out in cash.
  • Every withdrawal is reviewed, and larger withdrawals require the approval of two separate members of staff before payment.
  • If a deposit and withdrawal are made without meaningful trading activity in between, we may ask why and may charge the costs of processing the payments.
  • Internal transfers between your own wallet and trading accounts are recorded in our ledger; transfers to other clients are not permitted.

7. Ongoing monitoring

We monitor accounts, payments and trading for activity that may indicate financial crime, for example:

  • deposits or withdrawals that are unusually large or frequent for the client's profile;
  • several accounts or clients sharing the same payment method, device or address;
  • funds deposited and withdrawn with little or no trading;
  • payments to or from unexpected countries or unrelated parties;
  • attempts to avoid verification, sanctions screening or deposit and withdrawal rules.

Our ledger is reconciled with our payment providers and the trading server, and exceptions are investigated. Staff access to client data and account actions is role-based and recorded in an audit log.

8. Suspicious activity and reporting

If we know or suspect that funds come from crime or that an account is being used for financial crime, we report it to the competent authority as the law requires. The law may prevent us from telling you that a report has been made.

While we investigate, we may delay or refuse a deposit or withdrawal, freeze funds, restrict trading or close the account, and we may return funds only to their original source. We are not liable for any loss resulting from measures we take to comply with the law.

9. Introducing Brokers and partners

Introducing Brokers and other partners are verified before they are approved and must follow this policy. They may not open accounts, accept deposits or handle funds for the clients they introduce, and clients they refer go through our own verification. We may suspend a partner and withhold commission where we suspect a breach of this policy.

10. Record keeping

We keep identification documents, due-diligence information, transaction records and related correspondence for at least five years after our relationship with the client ends, or longer where the law, an investigation or a legal claim requires it. These records are protected as described in our Privacy Policy.

11. Your obligations

By opening an account you confirm and agree that:

  • you act in your own name and for your own benefit, not on behalf of anyone else;
  • all information and documents you give us are true, complete and your own;
  • your funds do not come from crime and will not be used for any unlawful purpose;
  • you are not subject to sanctions and are not resident in a restricted jurisdiction;
  • you will provide promptly any information or document we reasonably request; and
  • we may suspend or close your account if you do not meet these obligations.

12. Changes and contact

We may update this policy when the law or our procedures change. The current version is always published on this page with its revision date.
